Mercer is seeking candidates for the following position based in Chicago, Illinois office:

Senior Administrative Coordinator

What can you expect?

  • You will provide high-level administrative support and strategic partnership to the executive and their team.  This position is integral to ensuring the continuity of administrative operations by resolving complex issues, discovering irregularities, and maintaining confidentiality of sensitive information.
  • You will work on a variety of assigned tasks including calendar management, travel and expense coordination in addition to special projects.

We will count on you to:

  • Organize and prioritize own tasks, as well as executive and team’s projects using critical thinking, discretion and decision making skills
  • Manage leader’s calendar.  Focus on both daily and longer-range calendar.  Look for conflicts and coordinate a timely resolution
  • Gather or compile all relevant documents for meetings or travel (agendas, etc.) ensuring executive is prepared for all items on their calendar
  • Screen communications for action items and due dates, bringing key items to the executive's or staff's attention and initiate necessary actions (e.g., follow-ups, prioritizations, action required, etc.)
  • Create and format documents using advanced technical skills in Microsoft Word and PowerPoint while ensuring all documents produced adhere to Mercer's global identity/document standards
  • Process expense reports in a timely and accurate manner
  • Coordinate team travel.  Research and schedule flights, hotels, and cars correctly with all preferences considered and adjustments made in a timely manner when changes arise
  • Professional client service and communication, including phone and email scheduling and in-person interaction during local client visits
  • Anticipate what is needed through experience, communication, observation, and planning
  • Become proficient with company policies and applications

What you need to have:

  • BS or equivalent work experience
  • Demonstrated ability to work in a fast-paced environment while adapting to changing deadlines and priorities
  • Strong attention to detail, initiative and problem solving skills
  • Advanced computer skills, including extensive experience with Microsoft Office (Outlook, Word, Excel, Power Point, etc.)
  • Must possess strong oral and written skills and the ability to communicate well with others
